There are many different ways in which a Learning Plan can be “started”. This page explains those rules and conditions.

Starting a new Learning Plan

First, a note about terminology.

A Learning Plan Definition is the thing that specifies all of the business rules around starting and completing a process, such as a credential application.

A Learning Plan Instance is the actual application itself, which is a specific instance of a Learning Plan Definition for a specific person.

The phrase “start a new Learning Plan” means “create a new Learning Plan Instance”.

Admins can only start a Learning Plan for a Practitioner if the Practitioner is eligible to start it.

However, the “Begin” button can be hidden from Practitioners if you do not want them to start applications on their own.

(In other words, the “Hide From Practitioner When” setting on the Learning Plan Definition does not affect eligibility, only the visible status of the button)

What does it mean to be “eligible” to start a Learning Plan?

In this document, “eligibility” refers to a Practitioner’s ability to start a Learning Plan. It has no relationship to the concept of “exam eligibility”.

Being “eligible” to start a Learning Plan means that a Practitioner satisfies the requirements for beginning a specific application process.

There are two ways in which a Practitioner can be considered eligible to start:

A Practitioner is explicitly eligible to start a Learning Plan Instance when they have a granted Member Role matching the Required Role and Required Role Status configured on the Learning Plan Definition.

 

A Practitioner is implicitly eligible to start a Learning Plan instance when they do not yet have a Member Role matching the Required Role/Status, BUT:

  • They are eligible to begin the Grant Role Workflow for the Required Role by virtue of have the role required to start the Required Role (the Everyone Role will not work here), AND

  • The Required Role’s default status matches the Required Role Status

In that scenario, Practitioners are considered eligible to start the Learning Plan because they are eligible to being a Role Grant process that will lead to them being eligible to start the Learning Plan.

When the popup is submitted, and the Workflow Action resulted in the Grant Role Workflow being Completed Successfully, a new Learning Plan Instance is created and the Practitioner is redirected to its View Learning Plan page.

Creates a new Learning Plan Instance and redirects to its View Learning Plan page.

Launches the Grant Role Workflow Popup.

When the popup is submitted, if the Workflow Action resulted in the Grant Role Workflow being Completed Successfully, then the next step is identical to what would happen in the Explicitly Eligible scenario.

(e.g. the user is seamless transitioned from the “Grant Role” process into the “Create Learning Plan” process)

  • If the current user IS able to work on the current step of the Complete Learning Plan Workflow, then the user stays on the Pathways page and the Complete Learning Plan Workflow Popup opens

  • If the current user IS NOT able to work on the current step of the Complete Workflow, then they are redirected to the View Learning Plan page.

From the Admin → Account Profile Page

The Admin → Account Profile page allows an Administrator to begin the Grant Role process on behalf of a Practitioner.

Completing a Grant Role Workflow from this page will result in the automatic creation of a Learning Plan Instance when:

  • The Practitioner is implicitly eligible to start the Learning Plan (matches required Role + Status), AND

  • The Learning Plan Definition is configured to “Auto-Start when eligible”
