Training - Review an Application

Introductory example that walks through a sample application review process.

Overview

In the previous module you registered as a new user and submitted an application for eligibility to become a Certified Office Dog.

This module picks up on the administrative side, when the Board receives the application and reviews it for accuracy.

If you are a Heuristics employee, you should go through training in your local development environment or in a personalized training instance so that you can reset to a known, clean starting point as needed.

Setting the stage…

This fictional review process is performed by two different actors:

  • Arlene Admin, a manager at the American Society of Office Dogs and an administrative user in LearningBuilder. Arlene’s job is to screen incoming applications and route them to different Reviewers.

  • Robby Reviewer works for Arlene as a Reviewer. A lifelong dog lover, his job is to review applications and make sure that everything is up to par. He takes his job seriously and only wants the best doggos to become Certified Office Dogs.

Step 1: (Arlene) Assign a Reviewer

If you are already logged in, log out.

On the login screen, click on Arlene’s name to log in as Arlene Admin and then click on Eligibility → Eligibility Queue.

When the search form loads, make sure that My Inbox is selected and then click “Filter”.

The Eligibility Queue shows all of the applications that have been submitted. It is the primary work area for Reviewers.

When filtered to “My Inbox” it shows only the applications where the current user is responsible for taking the next step. We’ll talk more about this concept later.

If you completed the earlier module you should see your newly-submitted application in the list.

Click the orange “Assign Reviewer” button, then assign it to Robby Reviewer and click “Send to Reviewer”

Assigning a Reviewer to an Application

The Eligibility Queue should refresh, and the recently-assigned application will no longer be in the list.

If Arlene needs to find it again, she can clear the “My Inbox” filter and search for it that way.

Step 2: (Robby) Perform the Review

Log in as Robby Reviewer, and again go to Eligibility → Eligibility Queue.

Just like before, leave “My Inbox” selected and click “Filter”. You’ll see the same kind of list as Arlene, except you’ll only see the applications that have been assigned to Robby.

Step 2.1: View the submitted application

Pick one of the applications and click the blue “View” button to view the submitted application in its entirety.

Step 2.2: Review the submitted data

Robby’s job is to review all of the submitted data before making a decision on the application itself.

Expand the Vaccination Records container and then click the orange “Review” button for the submitted vet records.

In a real review scenario, the reviewer might perform any number of validation tasks to check for fraud or accuracy.

For the sake of simplicity, however, go ahead and click the orange “Approve” button. It’s nice to be trusting once in awhile!

Repeat the above steps for the Training courses too.

Step 2.3: Finish the review

Now that you’ve reviewed all of the data submitted with the application, the final step is to finalize the review.

To do that, click the orange “Complete Review” button and then the orange “Review Complete” button.

If you return to the Eligibility → Eligibility Queue page, you’ll see that the approved application is no longer in the list. Now that the review is complete, it no longer matches the “My Inbox” filter.
