Activity Instances

Activity Instances are one of many Entity Types within LearningBuilder™. Activity Instances manage the process of recording/completing an Activity through a Complete Activity Workflow.

A typical example of an Activity Type Instance is the attendance at a Continuing Education Course. The practitioner would search for the activity, add it to their Learning Plan, record the date of the course and upload proof of attendance.  

Since the process of completing Activities can be different for each type, LearningBuilder™ supports assigning each Activity Type its own Complete Activity Workflow.  Multiple Activity Types can share the same Complete Activity Workflow. Multiple Activity Types that share the same Create Activity Workflow do not have to share the same Complete Activity Workflow.

Activities can also represent tasks to collect information, such as education history, work history and references. In this case, the practitioner will follow the Complete Activity Workflow to provide the required information to complete the task.

As an Entity Type, Activity Instances have predefined Intrinsic fields. You can extend this list by Adding Extrinsic Fields.

Optional field for capturing the date the activity was completed. You may want to restrict this field based on the Activity Start and End Date fields, or the Learning Plan Cycle Dates. See Complete Activity Workflows for more information.

Requested Units

Optional field for capturing the units a practitioner believes the activity is worth. You may want to default this field based on the Activity Units. See Complete Activity Workflows for more information. These units are rolled up and can be displayed on the Task Group Header and/or the Learning Plan Header through the Task Group Configuration, or the Learning Plan Requirements Model Settings, respectively.

Granted Units

Numeric

Optional field for capturing the units awarded to a practitioner. You may want to default this field based on the Activity Units or the Requested Units. See Complete Activity Workflows for more information. These units are rolled up and can be displayed on the Task Group Header and/or the Learning Plan Header through the Task Group Configuration, or the Learning Plan Requirements Model Settings, respectively.

This is the status  text of the current step of the workflow.  If the workflow is complete, then the Workflow Completion Status. (New in Release 7.32)

Automatically set to True when activity is added via the attendance upload process. Can also be updated manually. (New to UI in Release 8.17 but field always stored in database so it accurately reflects if an activity was added via attendance upload process prior to Release 8.17)

The update-able fields are managed on the Complete Activity Workflow.

In addition to the fields listed above, the following additional intrinsic fields are available as read-only fields:

    • Activity Number (called Activity ID on the Activity)

    • Title (called Activity Title on the Activity)

    • Activity Description (called Description on the Activity)

    • Activity Units (called Units on the Activity)

    • Activity Start Date (called Start Date on the Activity)

    • Activity Start Date Time (called Start Date Time on the Activity)

    • Activity End Date (called End Date on the Activity)

    • Activity End Date Time (called Activity End Date on the Activity)

    • Activity Status (called Status on the Activity)

    • Contact Length

    • Activity Creation Workflow Status (called Workflow Status on the Activity)

    • Activity Provider Name (called Provider on the Activity)

    • Activity Contact Info (called Contact Info on the Activity)

  • From the Member Profile who is the Workflow Owner of the Activity (see Profiles for information about these fields):

    • Member Name

    • Member Name with Ancestors

  • From the Member Profile of the person who added the activity to the Learning Plan (new in Release 8.5)

    • Assigned By (Member Name of person who added the activity to the Learning Plan)
